Introduction

We have tried to make the process for transferring the data you have collected on your PDA to your PC logbook as simple as possible.

Assuming you have installed the 'HD.INI' file as described in the Installation guide, exporting your logbook to PC should be straightforward and we have highlighted the steps here.

1. HotSync/ActiveSync your PDA - this will backup the contents of your RCA Logbook to your PC. Do this frequently (i.e. daily) to minimise the risk of losing data if something happens to your PDA.

2. Open HanDBase Desktop - this will initiate the process for transferring cases from your PDA Logbook to your PC Logbook. This does not have to be performed as frequently as a backup (above). Some people recommend transferring your cases weekly or monthly.

3. Open PDA Logbook - using the HanDBase Desktop software, open the list of databases on your PDA. From that list select the logbook database called 'RCA Logbook v6.00'.

4. Select 'Export RCA Logbook' from 'File' menu - once you have selected your PDA Logbook, from the 'File' menu in the HanDBase Desktop select the option 'Export to RCA Logbook'. The RCA PC Filemaker Pro Logbook program will then run.

5. Enter your password for the PC Logbook - once started, the PC Logbook will request your password (the default is 'Tutor').

6. From main menu select 'Import/Export cases'

7. From Import Options select 'Import from a PDA, database, or spreadsheet'

8. Select 'HanDBase logbook' as source of cases

9. Using the 'Open File' dialog, select the file 'EXP_LOG' and press the 'Open' button

10. The fields will be correctly aligned (check to make sure), press the 'Import' button

11. When Import Options dialog appears press the 'OK' button

12. If you wish to tag the cases with an anaesthetist's details, do so here (see RCA Filemaker Pro PC Logbook instructions for information on how to use 'anaesthetist tagging').

13. Checking the Field Names - the screen below is what you will see after you have finished the 'tagging process'. Check that the relevant text fields match as below.

14.  Deleting the redundant Field Names record - having checked the field names match, delete this redundant record by selecting 'Delete Record' from the 'Mode' menu.

15. Press 'Export to Logbook' button to transfer cases - having deleted the redundant Field Names record.

16. Press the 'Menu' button to return to the main menu - the cases have been transferred to the PC and are displayed as a list.

15. Transfer complete - you are back at the main menu of the PC Logbook.

IMPORTANT

Once you have imported cases from your PDA to the PC you must then erase those cases from your PDA to prevent future duplication.

1. Open your PDA logbook using HanDBase and tap the title 'RCA Logbook' to select the 'Actions' menu.

2. Select the option 'Delete Records'

3. Press the button 'Within'

The PDA Logbook has now been reset and is ready to collect more new cases.
